If you are just starting to run group programs, finding the right time slot may feel like a challenge. Sometimes my clients want to please everyone, so they ask the group that is forming what are the best times for them. What I have found as a rule of thumb is that whenever you ask for a consensus, you open up a huge can of worms that you never can close for two reasons.

1. No one will ever agree and you’ll be stuck because now that you’ve asked, somebody will be disappointed since you didn’t pick his or her time.

Finding time to be effective when in transition requires extra vigilance, doesn’t it? Routines and patterns that once worked for you are disrupted. How do you create balance for yourself, and keep tasks from slipping out of your schedule during times of change?

Flexible focus is a practical and effective skill to help you scan the changing landscape and coordinate your tasks and responsibilities. Think of a farmer, who notices and retrieves the wandering calf while still keeping an eye on the whole herd. It’s all about alternating close-range focus with broad peripheral vision.  The farmer might incorporate binoculars into her scanning routine as she surveys her acreage.  For you, it might be your favorite to-do list, reminder app or on-line calendar that helps you keep an eye on the big picture, as well as the details.

Ahh stress. The killer of many a business.

Now don’t get me wrong, a little stress is actually good, as it could serve to help you function at your best. However, stress that seems a little too much could take a physical, as well as mental, toll to your body. And that means your business may suffer.

So how should you do it then? The following are tips and advice to help manage stress.

Write it out; schedule it out.

It is best to write down everything that seems to be overwhelming. You will find a things-to-do-list much easier to manage than having errands all crumpled up in your head. Writing down the tasks, and putting a specific schedule and time to do them, helps anyone manage activities one chunk at a time. Crossing out an activity that has already been accomplished is very rewarding and could actually help you feel more relaxed when doing the other tasks at hand.

Finding time to be as productive as possible is often a balancing act.  What I mean by that is that when you’re looking to amp up your productivity, you constantly balance innovation and efficiency.

Your familiar tools and processes are the ones that you use with the greatest ease – so that saves you time and energy in the short-term.  However, tools and processes are constantly being improved; so it’s helpful to know the ‘latest and greatest’ so that you can keep ahead of the curve and upgrade your software, and perhaps some of your work practices, as things change and improve.  This may mean some lost time initially, but it will improve your efficiency over time.

This is why I like to occasionally scan on-line venues like Lifehacker and Mashable, or list sites like 12 Most, to see if there are new productivity tools that I haven’t heard about yet.
