The venue you choose can make or break your business event. Meetings can be deathly boring, retreats can feel impersonal, and even holiday parties can be dull when held in stodgy, corporate conference rooms. Successful events cater to the needs and tastes of attendees, so it’s essential to keep your clients in mind when booking a venue.

To help you pinpoint the best venue for your event, first get clear on the basics:

  1. How many people will attend?
  2. How long is the event? Hours? Days?
  3. Will any of your attendees require handicapped access?
  4. Will any animals (service dogs, companion pets, etc.) be present?
  5. Do you want to serve food?
  6. Do you need chairs and tables, individual computer workstations, or an empty room?
  7. Do you need a sound system, projection screen, Internet connection or other technical elements?
  8. Do you want to treat your attendees to entertainment or luxury experiences?
  9. Are you on a tight budget or can you spend freely?

Next, consider location. Obviously, if your event requires a way to project your computer onto a large screen and to have wheelchair access, a beach is not a good location. However, if your event is a yoga retreat, a private, reserved area within a beautiful state park might be magical. The best and most memorable events often take advantage of a unique location instead of a boring conference room.

Here are some location ideas – some might surprise you:

  1. Stadiums and arenas
  2. Theaters, dance studios, sports gyms
  3. Restaurants
  4. Parks, beaches, campgrounds
  5. Historical buildings and grounds
  6. Museums and mansions
  7. Religious buildings
  8. Colleges and universities
  9. Boats and cruise ships
  10. Boutique hotels – these can provide the tech equipment you need without that bland corporate feel

With so many options, finding the perfect place can take time you’d rather spend working on your business, so let your Virtual Assistant take some or all of the venue-scouting off your hands.
